Can I Install TM admin, Client, Service and Line counter software in one computer?

No, we recommend you to install TM Admin, Service, Client and line count software in different systems for better performance.

 

Where to register the staff and doctor information?

 

Before starting off with the software you need to register your Staff, Doctors/Practice. All the settings need to be given in the configure window which is shown in the below screen. In the configure window click on Practice/Doctor to register all the doctors and their information (Templates, Samples). Click on Staff to register all your staff members!

How to add voice files manually to TM admin?


To Add files manually on to the Admin Window right click and select Add files or click on Add button in the tool bar and select the files you wish to add. The files will be added on to the Admin window. If any unregistered physician files are found, they are added as “un recognized files”.

How to assign voice files to MT, AQA and then QA?


Select the files you wish to assign, right click and select assign files to as shown in the below picture, select the staff at transcription level and click on that particular staff similarly for the QA1,QA2,QA3 and QA4.

 

 

 

Where does the file go once an MT uploads the transcript?


As soon as the Transcript is uploaded by the MT it goes back to the server from which it is directed to the Next level similarly this process continues till the final check and when the final check person uploads the document it goes to the Admin window where the document is uploaded to the FTP.

 

When a doctor is not registered in TM, where can I see the dictations of the unregistered doctor in TM admin?


When a doctor is not registered and you wish to add the files to Admin they will be added on to Admin under unrecognized files as shown in the below picture. To register these files, click on register doctor option in the right click menu.

 

 

How does the MT upload the transcript to server?


MT when done with the Transcription, to upload the transcript first they need to save the document and close it. After closing the document select the file that needs to be uploaded and hit on F-12 key from the keyboard or click on upload icon from the tool bar in the client screen which will pops up a save document window(Shown in the below screen) in which we need to select accordingly and click on Save.

 

 

After hitting the save button it asks for a confirmation to upload the Transcript which is shown in the below picture click on yes to upload the transcript.

 

 

As soon as the transcript is uploaded it moves on to the completed jobs list on the client screen.

 

Can MT upload more than one document for a single voice file?


Yes, they can upload more than one document for a single voice file
When a single dictation has multiple patients and you would like to upload multiple transcripts with the audio, follow the below steps
Open the audio, fill in the demographics and transcribe the first patient. Once you were done with the first patient, close the document and click on File->Templates, demographics window will open and ask you to select the File Type. If you would like to transcribe the next patient in a new document you can select the option “choose a template” and select a new template. If you would like to continue the next patient in the same document select the option “Continue next patient in the same document”. After transcribing all the transcripts, click on F12 to upload the multiple transcripts. You can see all the documents you transcribed in “save documents” window. Select all the documents and click on “Save” button to upload all the transcripts.

 

How can we allot a single voice file to more than one MT?


In case we have a single lengthy voice file we have an option called “Make duplicate” this will enable you to duplicate in as many parts as you wish and can assign accordingly.
This literally doesn’t break the file but will make a duplicate copy and from the comments given the staff would transcribe accordingly.

 

What is the formula used to calculate the accuracy?
In Transcription Manager there are 2 formulae to calculate the accuracy of which
(1-report error value/report line count)*100 is set by default. The second formula is
(100-report error value)

 

Where can MTs check the compared documents of their work?


As soon as the final copy is posted the software generates the Compare Documents which can be checked by clicking on the this icon from the client screen tool bar.

 

How search tool works in MT Client?


Search Text tool is an excellent option for the MT’s which make their work at ease Let us know how it works click on the icon from the client screen tool bar
window will pop up with the Practice and Doctor that you are currently doing selected. Type the word you are searching in text box and select the date’s so that the tool can search the data pertaining to that particular duration. By default one month duration is selected.

 

 

You can give the path to search from Data Backup, Feedback, Compare docs, Instructions and local system. You can also select the dates between which you wish to search. Hit the search button and the result is displayed as shown in the following Window, The red colored were the words highlighted that we typed in search window. Double click on the word to open the whole document.
